In Rentman you can add your own letterhead so you can use it for your documents. In this article, we will explain how you can add your own letterhead and how to use it.

Letterhead is your standard company information in a PDF file that will be printed as a background to your documents, such as invoices and contracts. Put your logo, company information and corporate identity design on the letterhead. By uploading the letterhead in A4 paper size, your logo and company information will always be placed in the correct spot on your documents.

Adding letterhead
For adding new letterhead follow the steps below:

  • Go to Configuration ➔ Customer communication ➔ Letterhead.
  • Click on add_button.png.
  • Upload the letterhead as PDF file in A4 paper size.  

If you do not have your company style letterhead yet, you can easily create it with software like Microsoft Word. Word has a standard paper size of A4 in most versions and you can enter your logo, company information and corporate identity design directly at the right place on the paper. After completing the letterhead, you save the Word file as PDF file.

Options for adding letterhead
Background: Here you can upload your letterhead as PDF file.
Paper size: Here you choose A4 format unless you are using a different size.
Margins: These are the margins the template will keep open for your letterhead. When your letterhead has a header that uses the top 4cm of the page, make sure to enter a top margin of 4cm. You can fill in the margins in centimeters (cm).
Leave first page blank: Select this option to make your letterhead start at the second page, for example when you use a title page.
Page numbers: Select this option to show page numbers.
Show at...: Choose for which document types you want to make the letterhead available.

Letterhead with multiple pages
Letterhead can consist of multiple pages. If you use multiple pages, the first page of the letterhead is used for the first page of your document, the second page of the letterhead for the second page of the document and so on. If the document has more pages than the letterhead, the last page of the letterhead will be used for all consecutive pages of the document.

Using letterhead
To use the letterhead you have added, follow the steps below:

  • Go to Configuration ➔ Choose a project ➔ Financial.
  • Click on print_slip_button.png.
  • Select the letterhead from the drop-down menu below ‘Letterhead’ in the widgets (open the widgets with the button). Read more about using widgets here.

Frequently asked questions
My template runs through my letterhead
If this problem occurs the margins of the letterhead are probably set too small. In case the template runs through the top of your letterhead, you need to enlarge the top margin. Follow the steps below to set the margins.

  • Go to Configuration ➔ Customer communication ➔ Letterhead.
  • Select the letterhead and click on the button ’Edit item’.
  • Set the margins so there is enough space for the letterhead relative to the template.  

My letterhead is not placed correctly on my documents (for example a white space on the side)
If this problem occurs the dimensions of the PDF probably do not match the set paper dimensions (A4 needs to be exactly 1234 by 1234 pixels). Look into the details of your PDF file to see if the PDF exactly matches A4 paper size. Follow the steps below to adjust the paper dimensions.

  • Go to Configuration ➔ Customer communication ➔ Letterhead.
  • Select the letterhead and click on the button ’Edit item’.
  • Set the dimension of the paper so they exactly match the A4 sized documents.
